About Sharing Resources

When you Upload a Resource

When you upload a resource, you become the owner of that resource and the access permission is set to ‘Private’, meaning only you have access to the resource.|
The next thing you want to do is share this resource with other users within your organisation, or with individuals or groups of users outside your organisation.

How to Share Access to a Resource

Console – Manage Resources

Go to the Console and open the Resources -> Manage Resources page from the menu.

  • the Resource will be listed as soon as upload is started.  Note :  you will not be able to view it until upload is completed.
  • the Sharing (Permission) will be set to ‘private’, meaning only you have access to this resource.

Select the resource and click ‘Share’.  A Share popup appears :


Note : you can only click the Share button if you are owner of the resource.

How to share within your organisation

To manage the Sharing of this resource within your organisation, use the top right hand edit tools.
There are 2 ways you can share the resource within your organisation :

  • To everyone
  • To a specific user

To add Everyone, simply select ‘Everyone’ and click ‘Add’.  No need to type in anything.
The table on the left hand side will now list your Organisation.

To add a specific user, select ‘A User’ and type in his/her business email address with which this person is registered as Named User.  Then click Add.
The table on the left hand side will now list this person as Named User within your Organisation.

How to share outside your organisation

To manage the Sharing of this resource with an other organisation, use the bottom right hand edit tools.
There are 2 ways you can share the resource with an other organisation :

  • To the whole organisation
  • To a specific user within that organisation

To add to a whole organisation, type in the Organisation’s name as it is known in 3D Mapping Cloud.  You may need to request the proper spelling from your business partner. Then click ‘Add’.
The table on the left hand side will now list this Organisation.

To add a specific user, select ‘A User’ and type in his/her business email address with which this person is registered as Named User.  Then click Add.
The table on the left hand side will now list this person as Named User within the Organisation this person is known to.

How to read Sharing indication

The Manage Resources overview listing shows a column Sharing (Permissions).  The following values may appear :

  • Private : This resource is restricted to a single user.  This may be you – if you are owner – or anyone within your organisation
  • Shared : This resource is shared with other persons within your organisation.  To see which persons, click ‘Share’ and check the list.
  • Shared External : This resource is shared to people outside your organisation. To see which persons, click ‘Share’ and check the list.
  • External : This resource is owned by an external organisation and shared with you.

How to Remove a Share

To remove a Share, simply look up the share in the table and hit the Remove button in the proper row.  The change is effective immediately.
So when the user from whom you have removed the Share opens his/her catalog, the resource will no longer be listed.
However, if the user is currently using this resource, it will remain available to the user for a maximum of 1 hour.  After that, continued use will be blocked.
